This procedure is
only required for companies who are using the Warehouse and/or Locations
feature in JAS.
Sometimes stock
units are adjusted incorrectly through system transactions or user
adjustments. Either way if the total
units by style (sum of all sizes in one color) in the Master File does not
match the summed stock units of all individual locations (for the same style /
color), users will receive the following message when they attempt to adjust
stock. Only a user with a Master Password is allowed to continue.

The discrepancy
is caused by a JAS process that updated the Master Stock value without updating
the Bin Location Stock value (or vice versa). This problem can be caused by any
number of processes that update stock levels in JAS: Cutting Ticket Receipts,
Purchase Order Receipts, Invoicing, Manual Adjustments, Credit Memo's, etc.
This makes it very difficult to find the actual cause of each individual
instance.
To find the
problem, users will have to run a Style History Journal for the style/color in
question and forward it to jonar@jonar.com for analysis. That report will allow
Jonar to retrace the processes performed on that item in the recent past;
allowing Jonar to find out which program caused the discrepancy and then adjust
the program and/or data accordingly.
To ensure that
the problem is dealt with quickly, users should run the Stock vs. Bin Report
once a week to see if any styles contain discrepancies. If a style is found to
have this problem, the Style History Journal and the Stock vs. Bin Report
should be run daily (for that item) and sent to Jonar each time until the issue
is resolved.
The Style Cut and
Sold screen by style/color shows the stock values in the master file. The total
stock should be the sum of stock units in all warehouse bin locations.
Then inventory of
the total master stock must match the combined location inventory. In order to
correct the inventory so that the total stock matches the total of the
inventory from each location combined there are 2 steps to be done. This section will explain each step.
Please note that
the adjustment must be done by a user who has master access to JAS.
