Message Received when Trying to Delete a GL Account

Introduction

It can occur where users may try to delete a GL account in VJSI and will receive the following message:


Explanation of the Message

  1. The message means that the GL Account cannot be deleted as there are transactions associated with it.
  2. Even if the total is zero, if there are still transactions in the account, they must remain in the system. This is for audit purposes so that you will have this information if you are ever required to print reports from years back when these accounts were used.

Recommendation

  1. Our recommendation would be to change the name of these two accounts to ‘do not use’.
  2. When you print current reports, you should have 'include zeros' set to ‘No’ so that these account numbers won’t print.
